Purpose

As an HR Service Officer, you’ll manage the full onboarding and offboarding process for Etihad Airways employees, including local and international hires across all levels. You’ll coordinate with stakeholders, resolve queries, maintain data accuracy, and guide new joiners and employees to ensure a smooth experience. You’ll also update SOPs, reports, and dashboards, support business meetings, train and supervise the admins team, and act as a delegate for the Manager when needed. Additionally, you’ll contribute as a subject matter expert on HR projects.

Accountabilities

  • Provide support for HR transactional activities, effectively tracking onboarding/offboarding process, manage senior grade individuals while providing exceptional customer experience
  • Manage all the required documents for pre-employment approvals, ensuring integrity of HR data, issuing employment contracts including international bilingual contracts, liaise with internal and external stakeholder for required pre-employment approvals.
  • Prepare and manage all separation documents, including final payments, termination letters, visa cancellations, and immigration escalations.
  • Prepare and communicate joining logistics including visa, flights, accommodation and transport when necessary, ensuring all pre-joining requirements are monitored and communicated to each candidate pre-joining, while maintain an overview of the above activities for each member/work stream, monitoring progress at each stage and maintaining business updated.
  • Prepare status report for each stream, use analytics and dashboards to review the data for potential delays/risk based on expected SLA and highlighting it to management to avoid escalations or potential issues.
  • Maintain data accuracy in SAP system
  • Manage the post-onboarding formalities in coordination with internal/external stakeholders. Ensuring all new joiners have completed the residency process and supervise the activity for all business streams.
  • Act as SME on HR related projects and/or initiatives, designing, delivering, testing and rolling out the activity
  • Influence/collaborate with internal stakeholders such as payroll, ODTR, HR business Partners, Visa and Government Services, talent acquisition to ensure service delivery and resolution of incoming HR requests are resolved.
  • Manage the operations for the weekly new joiner induction
  • Manage death in service process  
  • Responsible for Internal and external financial expenses, by tracking orders and payments requests for hotel, chauffeur, catering and other suppliers or any other department expenses.
  • Ensuring health insurance enrolment and cancellations are completed and mandated government regulation is followed.
  • Fully understands EY policies and processes to work efficiently and effectively, manage highly confidential and sensitive data with integrity and discretion.
  • Clearly understands the implications of situations and uses sound judgement when making decisions for complex queries, cases.
  • Lead a team of 1–3 administrators, provide training, supervision, guidance, and conducting end-of-year performance reviews.

Education & Experience

  • Minimum 3 years’ experience in HR/administration, preferably in HR operations.
  • Strong proficiency in MS Office (Word, Excel, PowerPoint); Power BI is a plus.
  • SAP/ERP HCM/HRIS functional knowledge.
  • Fluent in English (spoken and written).
  • Proven ability to multitask, prioritize, and deliver under pressure with high attention to detail.
